JOB RESPONSIBILITIES: Reporting to the Recreation Director – this position oversees all functions of the Recreation Department support for services. This includes oversight of office staff (full and part time); programs (seasonal and special events); instructors and coordinators and facility management. This position demonstrates a high degree of independent judgment in carrying out the following duties: extensive accounting and bookkeeping record keeping; complex and varied payroll functions; coordination of calendars for programing and physical plant usage; works with other Avon Lake departments and divisions on short- and long-term projects and programs. Serves as the secretary to the Parks and Recreation Committee of Avon Lake attending meetings as required and supporting the recording/tracking of such meetings.

QUALIFICATIONS: Minimum education - high school graduate with a minimum of three (3) to five (5) years of experience in a secretarial or office support role.

In addition to higher education requirements this position requires a proficiency in: Accounting, Office software (Word, Excel, etc.), and ability to multi-task. This position requires the ability to shift between tasks quickly and often without notice. Ability, knowledge, and experience in preparing written and verbal reports and tracking necessary statistical information.

Ability to communicate effectively and diplomatically both orally and in written form(s); Ability to tailor communication style(s) to meet the audience including federal, state and local entities; elected officials, community volunteers, potential developers, City staff and general public.

PHYSICAL REQUIREMENTS: Intermediate physical activity including lifting, bending, standing, reaching, etc... working conditions include loud, dusty environments and hazardous chemicals. All applicants must pass a background screening, drug test and possess a valid State of Ohio Driver’s License.

KNOWLEDGE OF:

•    Usual and customary office software as well as being the subject matter expert for in-house software programs; and responsible for the training of same
•    Management of day-to-day staff and assignment of duties to colleagues
•    Payroll practices and timekeeping methods including onboarding protocols; exit paperwork, recording keeping and City of Avon Lake hiring practices
•    City of Avon Lake ordinances and rules governing parks facilities and lands
•    Strong customer service delivery methods including the training of other support personnel
•    Works closely with other facility managers on inventory matters including supplies, equipment, safety protocols, etc…
•    Thorough working knowledge of all usual office equipment (copy machines, phones, fax, etc..)
•    Government budget practices including purchase order tracking and payment of invoices
•    Strong working knowledge of supply inventory, tracking, vendor relations, purchasing protocols – including anticipatory purchases based on seasonal programming

Salary: Salary and benefits governed by the current collective bargaining agreement; Range for 2021 is:
